Booking Terms and Conditions

Clients(known as “The Client” hereafter) are deemed to have read, understood and consented the following terms and conditions between you and Epic Travel Tours (known as “The Company” hereafter):

  1. Proposal Fee, Reservation, Deposit & Full Payment

All prices/charges are expressed in Singapore Dollars unless otherwise explicitly stated.  Payment can be made by online bank transfer, PayNow, Credit Cards, Alipay, WeChatPay and cheque.

A proposal fee of minimum of SGD$450.00 is required for The Company to design a standard customised tour.  In the event if The Client has specific requirements or involves a group of more than 6 paxes, The Company may charge more for proposal fee.

The proposal fee will be waived if The Client make a reservation by paying a deposit.  The proposal fee will count towards the full tour fare.

A deposit is required upon reservation.

Once a deposit is paid, the tour is confirmed.

Full payment is required 8 weeks before the tour departure.  If The Client failed to make full payment by the stipulated deadline, The Company shall be entitled to treat your reservation as cancelled without any recourse against us.

  1. Cancellation/Amendment Policies

All deposits are non-refundable but non-expired.  Should The Client change their minds after placement of deposit, The Client can utilise the deposit for other trips at any time with no expiry date.  The deposit, however, is not transferrable.

Should The Client wish to change destinations after making final payment, the initial proposal fee paid will not be waived.  The Client would be responsible for forking out an additional proposal fee (minimum SGD$450.00) for drafting the proposal for the new destination.  The Company will charge an administrative fee of SGD$650.00 per group for processing and arranging the new specified destination.

Should The Client change their mind of proceeding with their trip after placement of deposit, the initial proposal fee paid will not be waived.  Part of the deposit will be used to offset the initial proposal fee.   If there is no proposal fee involved (dated before 2020), the deposit will be used to offset the final tour fare of the new tour package.  However, the deposit cannot be used to offset the new proposal fee payable for the new tour package.  The Client must pay a new proposal fee for the new tour package.

Should The Client wish to change the itinerary after making final payment, 
The Company will charge an administrative fee of SGD$650.00 per group for processing and effecting the amendments. 

Should The Client decide to cancel the tour after making final payment, you will be responsible for any non-refundable charges imposed by the third parties (transport companies, hotels, trains, airlines).  The Company will charge an administrative fee of $650.00 per group for processing the cancellation from the refunded amount by the third parties.  The deposit is non refundable but non expired.

  1. Refund Policies

No refund, either in full or in part, will be made with respect to all arrangements for accommodation, transportation, sightseeing tours or other services which are included in the Tour fare but not utilised by the traveller of his or her own volition or where the traveller amends, cancels or otherwise varies such arrangement after commencement of the Tour.

If, after a Tour has departed, any service(s) in or components of the itinerary cannot be fulfilled or any change(s) to the itinerary are necessitated for any reason(s) beyond our control, due to the occurrence of a force majeure event, such as an act of God, earthquake, fire, tsunami or other natural disasters, weather conditions, war, civil unrest or terrorist attacks, government or legislative actions, strikes and labour unrest, diseases or pandemics, compulsory quarantines, or other similar event(s) (“Force Majeure Event”), The Company reserve the right, but shall not be obliged, to propose a change to the relevant itinerary and, if The Company do, The Company shall endeavour where possible to arrange for the provision of a comparable alternative service or component. If The Client accept the change, any additional expense resulting from such changes shall be payable by The Client and any resulting saving will be refunded by The Company to The Client.

For payments made via online banking, or cheque, refunds will be made by way of bank transfer and will generally be processed within 1 week from the date of cancellation. For credit card payments (including PayNow, Alipay WeChatPay), refunds will be made via the respective credit card company and will generally be processed within 4 to 6 weeks from the date of cancellation.

  1. Tour Deviation

If The Client requires any tour deviation after the tour departed, The Client needs to inform The Company beforehand.  The Company will liaise with third party vendors to determine if any additional fees is required. The Company will charge a minimum fee of SGD$650.00 for administrative purposes on top of the additional fees charged by the third party vendors.

  1. Travel Documents / Visas

The Client is solely responsible for ensuring that his or her passport or other travel document is valid for at least 6 months from the expected date of departure from the last point of departure in the itinerary and that he or she has all necessary visas, permits, passes, licences, vaccinations, health certificates and/or other documents or approvals as may be required by the applicable governmental authorities of the destination country(ies) in the Tour.

Should a visa be required for the Tour, The Company will inform The Client accordingly and point The Client to relevant websites/embassies for the application of visas.

The Company will not be responsible for any expenses, reimbursement or refund of the tour fare if The Client is deported or refused entry by immigration authorities on the tour for whatever reasons, including improper travel documents, quarantine, custom regulations, and possession of unlawful items or irregularities that may cause harm/damage to person or property.

  1. Travel Insurance

The Client is encouraged to obtain a comprehensive travel insurance policy to protect against unforeseen circumstances, such as covid related incidents, baggage loss, flight delays, travel agent insolvency and medical emergencies. The Company shall not be responsible, under any circumstances, for any such matters.  Due to pandemic, The Client is strongly encouraged to obtain insurance to cover any related Covid-19 costs.

  1. General Matters Relating to Tours

Itinerary: The sequence of the itinerary may be subject to change, at the discretion of the transportation company.  Where possible, the vendor of the transportation company will inform a day ahead of the schedule.

Accommodation: Accommodation is available on double, twin, triple with ensuite.  Quad sharing is subject to availability.  Kids under 5 years old will stay for free, subject to 1 child per room.  Kids 5 years and above will require a bed.

Meals: Where breakfasts are complimentary in hotels, there is no refunds nor discounts possible for opting out of breakfasts.

Special Requests: All special requests such as high floor rooms, adjoining rooms, are subject to hotel’s availability and confirmation, and The Company will not be responsible if any such request is not or cannot be met for any reason.

Should The Client require The Company to make bookings for lunches/dinners at specific restaurants, an administrative fee of SGD$100.00 will be imposed.

  1. Feedback and Complaints

The Company welcomes feedback from all our clients.  The Client can submit your feedback / complaints to info@epictraveltours.com.sg, and we will do our best to respond within 1 week to resolve any issues.

  1. Confidentiality and Privacy

The Company will comply with all relevant obligations under the Personal Data Protection Act 2012 (“PDPA”) governing the collection, use, disclosure and care of your personal data in accordance with our privacy statement, a copy of which can be found at https://www.taiwanfreeandeasy.com.sg/privacy-policy.

The Company may publish photographs, videos and positive reviews of The Client on social media channels, all travellers shall be deemed to have consented to such collection and/or use on our part.

  1. Third Party Providers

The Company incorporate and rely on the services of airlines, transport companies and other third party service providers for our Tours. These Terms and Conditions and all arrangements or bookings relating to the Package Tour are additionally subject, in every respect, to any terms and conditions that may be imposed by these third party service providers. Whilst we will endeavour to render reasonable assistance to The Client wherever possible, The Company has no control over these third-party service providers and shall not be liable, in any way, for any changes made by or acts or omissions on the part of such third-party service providers in connection with Tour.

  1. Liability Indemnity and Disclaimers

The Company acts as agent for the airlines, transport companies, hotels and other principals of the tour and is not liable for changes made by suppliers but will render assistance where possible.

The Company shall not accept any liability nor responsibility to any Client for:

  • Any injury, damage, accident, loss, delay or irregularities occurred not arising from The Company’s own negligence or breach;
  • Any injury, damage, accident, loss, delay or irregularities occurred as a result of circumstances beyond its control (including but not limited to the below circumstances).
  1. Actions or omissions of third parties (including any applicable third-party service providers);
  2. Mechanical breakdown
  3. Major force majeure (such as acts of God, compulsory quarantine, government actions).
  4. Failure of the customer to obtain required proper documentation.
  5. Failure of the customer to comply to reasonable instructions entailed in itinerary.
  6. Accidents of any kind occurring during passenger’s independent activities.
  7. Theft, robbery, or lost property
  8. Covid-19

In no event shall we be liable for any punitive, special, indirect or consequential loss or damage, including loss of production, profit, revenue or contract or loss of or damage to goodwill or reputation.

The Client agrees to indemnify The Company, our affiliates and our respective officers, directors and employees, immediately on demand, against all claims, liabilities, damages, costs and expenses, including legal fees (on a full indemnity basis), arising out of any breach of these Terms and Conditions by The Client.

  1. Miscellaneous

The Company reserves the rights to change, amend, insert or delete any of these Terms and Conditions, or policies contained therein, from time to time without prior notice.
